Welcome to Fire Door Systems (https://firedoor-systems.co.uk). These Terms and Conditions govern the sale, manufacture, installation, and maintenance of fire-rated door sets and life-safety systems by Fire Door Systems (“the Company,” “we,” “us”) to the customer (“the Client,” “you”).

General
- These terms apply to all contracts for the supply of fire-rated goods and services to the exclusion of any other terms.
- A contract is formed only when the Company provides written acceptance of an order or when the Client signs off on the final Fire Door Schedule/Specification.

Lead Times and Commencement
- Commencement of Manufacture: Estimated lead times for bespoke fire doors shall only commence once:
- The Company has received signed-off technical drawings and confirmed fire-rating requirements (e.g., FD30, FD60, FD120).
- All required proforma payments or deposits have cleared.
- Delays: Lead times are estimates. The Company is not liable for delays caused by third-party testing bodies, global timber shortages, or site unreadiness.
- Commencement of Manufacture: Estimated lead times for bespoke fire doors shall only commence once:

Payment Terms
- Proforma Requirements: For non-account customers, full payment is required for orders under £1,200. For orders exceeding £1,200, a deposit (standard 50%) is required before procurement of fire-rated cores and ironmongery.
- Account Holders: Payments are due within 30 days of the invoice date or as agreed.
- Retention of Title: Legal ownership of all fire doors and components remains with Fire Door Systems until full payment is received. We reserve the right to recover goods from the site if payment defaults.

Site Readiness and Compliance
- Structural Openings: The Client is responsible for ensuring structural openings are within the tolerances specified in our survey. If openings are non-compliant with the tested global assessment of the door set, we cannot proceed with installation.
- Fire Alarm Integration: For doors featuring electromagnetic hold open devices, the Client is responsible for the final connection to the building’s fire alarm system by a qualified electrician/fire alarm engineer.
- Abortive Visits: If our installers cannot proceed due to obstructed openings or lack of “Clear Zone” safety, an Abortive Visit Fee will be charged at our standard daily rate.

Certification and Regulation 38
- Handover Pack: Upon completion and full payment, the Company will provide the necessary certification and O&M manuals required under Regulation 38 of the Building Regulations.
- Third-Party Schemes: Our installations are carried out to the standards of our accredited schemes (e.g., BM TRADA or IFC). Any post-installation modification by the Client (e.g., cutting down doors, fitting unapproved hardware) will void the fire certification immediately.

Warranty and Mandatory Maintenance
- Duration: New fire door sets carry a 12 month warranty against manufacturing defects.
- Validation Requirements: Under the Regulatory Reform (Fire Safety) Order 2005, fire doors are life safety equipment. The warranty is strictly subject to:
- Bi-Annual Inspections: Equipment must be inspected/serviced at least every 6 months.
- Certified Parts: Only fire-rated components matching the original test evidence may be used for repairs.
- Exclusions: Damage to intumescent seals, smoke seals, or door closers due to “propping doors open” or site abuse is not covered under warranty.

Cancellation
- Bespoke Fire-Rated Goods: As fire doors are manufactured to specific heights, widths, and ratings, orders cannot be cancelled once the timber/core has been cut. Initial deposits are strictly non-refundable.
- Site Surveys: Cancellation of a scheduled fire door inspection or survey requires 24 hours’ notice, or the full fee remains payable.
Legal Note: Fire doors are a critical element of a building’s passive fire protection. It is the Responsible Person’s legal duty to ensure these doors are maintained in an efficient state, in efficient working order, and in good repair.
