Terms and Conditions

Welcome to Fire Door Systems (https://firedoor-systems.co.uk). These Terms and Conditions govern the sale, manufacture, installation, and maintenance of fire-rated door sets and life-safety systems by Fire Door Systems (“the Company,” “we,” “us”) to the customer (“the Client,” “you”).

  1. General

    1. These terms apply to all contracts for the supply & Install of fire-rated goods and services to the exclusion of any other terms.
    2. A contract is formed only when the Company provides written acceptance of an order or when the Client signs off on the final Fire Door Schedule/Specification.
    3. Any quotation provided is subject to a site survey and confirmation of final specifications.
    4. If our quotation is accepted, we will arrange a pre-start site visit to further assess the door conditions and undertake any necessary intrusive surveys. Should we identify any variances in the condition of the doors, frames, or surrounding structure, we will advise you accordingly and seek approval for any revised costs prior to commencing works.

  2. Site Specific

    1. Repair work is guaranteed for extent of the repair only – we cannot guarantee the underlying certification of any existing product.
    2. Where complete door replacements are required, we have included for removal and disposal of existing door but not allowed for any making good to plaster walls etc.
    3. Where paint grade doors are installed, these will be supplied in a primed finish only. All final painting, decoration, and finishing works are to be carried out by others and are excluded from this quotation.
    4. Remedial works and replacement works may be scheduled and undertaken at separate times, subject to product availability and site requirements. Where possible, works will be combined to minimise disruption. The programme will be confirmed and amended as necessary in accordance with site conditions and material lead times.

  3. Lead Times and Commencement

    1. Commencement of Manufacture: Estimated lead times for bespoke fire doors shall only commence once:
      1. The Company has received signed-off technical drawings and confirmed fire-rating requirements (e.g., FD30, FD60, FD120).
      2. All required proforma payments or deposits have cleared.
    2. Delays: Lead times are estimates. The Company is not liable for delays caused by third-party testing bodies, global timber shortages, or site unreadiness.
    3. Our standard working hours are 07:00 to 16:00 , Monday to Friday. All works are priced on the basis that access will be provided during these times.

  4. Payment Terms

    1. Proforma Requirements: For non-account customers, full payment is required for orders under £1,200. For orders exceeding £1,200, a deposit (standard 50%) is required before procurement of fire-rated cores and ironmongery, the remaining 50% is due upon completion of service.
    2. Proforma Requirements: For orders exceeding £20,000, a 50% deposit is required before procurement, followed by a 25% interim payment due on the first day on site prior to commencement of works, the final 25% balance is due upon completion of service, unless agreed otherwise.
    3. Account Holders: Payments are due within 30 days of the invoice date or as agreed.
    4. Retention of Title: Legal ownership of all fire doors and components remains with Fire Door Systems until full payment is received. We reserve the right to recover goods from the site if payment defaults.

  5. Site Readiness and Compliance

    1. Site Readiness: Our pricing is based on the information provided and assumes suitable access to the work areas during normal working hours. If site restrictions or access limitations outside our control result in additional visits or extended attendance, we reserve the right to review and adjust the associated costs. Any such changes will be discussed and agreed prior to proceeding.
    2. Structural Openings: The Client is responsible for ensuring structural openings are within the tolerances specified in our survey. If openings are non-compliant with the tested global assessment of the door set, we cannot proceed with installation.
    3. Fire Alarm Integration: The client is responsible for ensuring that all electrical connections relating to magnetic locks and associated access control systems are disconnected prior to FDS attending site. These disconnections must be carried out by the client’s appointed fire alarm engineer. It is the client’s sole responsibility to ensure that all necessary preparatory works have been fully completed prior to FDS’s scheduled attendance. Should these connections not be disconnected before our scheduled visit, FDS reserves the right to charge for an abortive visit.
    4. Fire Alarm Integration: For doors featuring electromagnetic hold open devices, the Client is responsible for the final connection to the building’s fire alarm system by a qualified electrician/fire alarm engineer.
    5. Abortive Visits: If our installers cannot proceed due to obstructed openings or lack of “Clear Zone” safety, an Abortive Visit Fee will be charged at our standard daily rate.

  6. Certification and Regulation 38

    1. Handover Pack: Upon completion and full payment, the Company will provide the necessary certification and O&M manuals required under Regulation 38 of the Building Regulations.
    2. Third-Party Schemes: Our installations are carried out to the standards of our accredited schemes (e.g., BM TRADA or IFC). Any post-installation modification by the Client (e.g., cutting down doors, fitting unapproved hardware) will void the fire certification immediately.

  7. Warranty and Mandatory Maintenance

    1. Duration: New fire door sets carry a 12 month warranty against manufacturing defects.
    2. Validation Requirements: Under the Regulatory Reform (Fire Safety) Order 2005, fire doors are life safety equipment. The warranty is strictly subject to:
      • Bi-Annual Inspections: Equipment must be inspected/serviced at least every 6 months.
      • Certified Parts: Only fire-rated components matching the original test evidence may be used for repairs.
    3. Exclusions: Damage to intumescent seals, smoke seals, or door closers due to “propping doors open” or site abuse is not covered under warranty.

  8. Cancellation

    1. Bespoke Fire-Rated Goods: As fire doors are manufactured to specific heights, widths, and ratings, orders cannot be cancelled once the timber/core has been cut. Initial deposits are strictly non-refundable.
    2. Site Surveys: Cancellation of a scheduled fire door inspection or survey requires 24 hours’ notice, or the full fee remains payable.

Legal Note: Fire doors are a critical element of a building’s passive fire protection. It is the Responsible Person’s legal duty to ensure these doors are maintained in an efficient state, in efficient working order, and in good repair.
